My experience has been that with computer software you can run into glitches. Maybe that is an understatement. As an act software user there is a great deal of information stored in the act knowledgebase. I have often found solutions to many problems using this great tool.  If you have a question about act software, Google it.

My experience has also been that many act software users run into problems when they don’t know the right question to ask when trying to find a solution to a problem. That is a great time to give me a call.  A few days ago, a client asked me to add a few options into the act scheduling drop-down options. I must confess, although I knew you could do it, I don’t think I was ever in a situation where this needed to be done. Therefore, I Googled it and found my answer. I Googled “add schedule types in act” and this is what it found:

How to create and manage custom Activity Types in Act!

Question:  How do I create or manage custom Activity Types in Act!?

Note: The steps below cannot be completed from a remote database. You must be logged into the main database as an Act! administrator in order to create custom Activity Types. Once created, remote users can synchronize their databases to pull in the new custom activity types.

Creating a new Activity Type

  1. In Act!, click the Schedule menu, then Manage > Activity Types…
  2. In the Manage Activity Types window, click Add…
  3. In the Name field, give the Activity Type a name
  4. If desired, click the Browse… button to locate a different icon, otherwise skip to the next stepNote: If you choose to locate a different icon to represent your new Activity Type, you must either create one or already have your own file. Icons must have the file type of *.ico.
  5. If you wish to rename the existing results, select a Result Name, then click Edit… to rename the result, then click OK when done
  6. If desired, you can create additional Result Names by clicking Add…, filling in a name for the new result, then clicking OKNote: The results that are created by default cannot be deleted, so if you wish to have results that are named differently, it is recommended to edit their names before creating new results unless you need more than two results for the Activity Type
  7. Ensure that Set as Default is checked for the result you wish to be the default result when clearing activities
  8. When satisfied, click OK

Note: If you create a new Activity Type on a database that acts as a sync server, then synchronize a remote database to that server, you will need to close and reopen Act! on the remote computer in order to view the Activity Type after synchronization has occurred.

Editing Existing Activity Types

Appointment, Call, Meeting, and To-do Activity Types cannot be edited, however custom Activities, Personal Activity and Vacation Activity Types can have their names and their Result Names edited. Additionally, they can be set to inactive.

Changing the name of an Activity Type

Note: Renaming an activity type will change all currently schedule activities of the same name.

  1. From the Manage Activity Types window, select the Activity Type you wish to edit, then click Edit…
  2. Enter the new name you wish to have into the Name field, then click OK
  3. When prompted if you’re sure, click OK

Changing a Result Name

  1. From the Manage Activity Types window, select the Activity Type you wish to edit, then click Edit…
  2. Select the Result Name you wish to change, then click Edit…
  3. Choose whether you wish to change all occurrences of the same result type or if you only want to Change the future occurrences
  4. Enter the new name for the result, then click OK

Adding a new Result

  1. From the Manage Activity Types window, select the Activity Type you wish to edit, then click Edit…
  2. Click Add…
  3. Enter a name for the new Result, then click OK
  4. Click OK again when done

Deleting a custom Result

  1. From the Manage Activity Types window, select the Activity Type you wish to edit, then click Edit…
  2. Select the custom result you wish to delete, then click Delete

Deactivating an Activity

You can deactivate an Activity so that it is not an option when scheduling new activities.

  1. From the Manage Activity Types window, select the Activity Type you wish to edit, then click Edit…
  2. Uncheck the checkbox next to Active – allow new activities of this type
  3. Click OK

Note: This can be undone by following the same steps to re-check the checkbox.

Deleting an Activity Type

With the exception of Personal Activity and Vacation Activity Types, default Activity Types cannot be deleted. Custom Activity Types can only be deleted if an activity has never been scheduled for that type. If you have scheduled an activity for a custom activity type, even if you deleted the activity, the activity type cannot be deleted. For Activity Types that can be deleted:

  1. From the Manage Activity Types window, Select the Activity Type you wish to delete
  2. Click Delete
